SUMMARY EXPLANATION AND BACKGROUND:

1.  On November 19, 2018, the City Commission authorized the advertisement of TS-18-01 “SOPHOS Comprehensive Security Suite Renewal for Charter Schools”, which was advertised on November 27, 2018.

2.  The purpose of this solicitation was to provide the Charter Schools with renewal licensing for the SOPHOS Comprehensive Security Suite.

3.  On January 30, 2018, the City opened eight (8) proposals from the following vendors:

4.  The Technology Services Department has reviewed the proposals and has deemed Zones IT Solutions, Inc., to be the most responsive/responsible proposer.

5.   Zones IT Solutions, Inc. submitted the required Attachment G "Equal Benefits Certification Form", however, they did not check any of the options on the form. The Purchasing Manager allowed  Zones IT Solutions, Inc. to submit their completed form after the bid was opened.

6.   Per § 35.19 (E)(7) of the City's Procurement Procedures, "The city reserves the right to waive any irregularities in the bids, as determined by the Chief Procurement Officer and approved by the City Manager."  The Purchasing Manager has accepted the documents submitted by Zones IT Solutions, Inc. after the bid was opened per section 35.19 (E)(7) of the City's Procurement Procedures.
